Timesheets

The staffing system provides a comprehensive means of recording staff attendance, payroll processing and attendance analysis. Time sheets can then be viewed for the whole staff or each individual member.

At the start of each week blank time sheets are automatically generated for each member of staff at the home. These are then be filled in manually, on screen, or automatically if using the “i” Button login system. The “i” Button both records the actual time of arrival and allocates that time to the correct shift pattern and hours. Extra hours are also recorded while deductions for items such as lunches provided can also be noted.

Holidays are inputted on screen as are periods of sickness, with space available to show the reason for absence. Account can also be taken of hand over and on call periods.

The staffing system shows a simple, but comprehensive overall view of staffing levels. This shows at a glance all employees, number of hours they have worked each day of the week, weekly total hours and absence for sickness or holiday. In addition the total hours worked by all staff each day is shown, highlighted in red if it is over budgeted hours, green if under budgeted hours or grey if within the budget parameters set.

Viewing information in this way gives a very quick evaluation of wage costs and staffing levels so that anomalies can be easily spotted and quickly dealt with. From this page you may also view reports showing the number of hours worked by each type of employee (Carer, Domestic Manager etc.) and details of the “i” Button login times for each employee.

Payroll Processing
The weekly time sheets are used in order to prepare information for the payroll. First the system produces an on screen summary of the hours worked for all staff. Viewing this page is the 1st check and provides an easy means of spotting any obvious anomalies.

Next a payroll pre-load report is produced.This is the final check before the payroll is actually processed. It shows each member of staff, the hours worked, the types of jobs performed, sickness, holidays, on call and handovers for the payroll period.

If you have your own payroll software the final step of uploading all the information to your payroll software is achieved at the touch of a button, making the whole process simple and quick.

If you use an external bureau to prepare your payroll, this document is simply printed out and faxed through for them to complete the payroll.

Security
This section of the software has full password security enabling different levels of access for each user. A security level is set for each individual, group of users or terminal which determines which part of the programme they have access to and can use. Thus access to sensitive personal and financial information is restricted ensuring complete confidentiality.
